What Happens If You Need to Cancel or Reschedule a Ride
Plans change. A trail day you booked months ago can collide with work, weather or a last-minute family commitment. At Swift Trails, we would rather help you move a booking than have you lose it, so this guide explains exactly what happens if you need to cancel or reschedule a ride.

Understanding your booking window
Every ride booking includes a flexible change window. The earlier you tell us, the more options you have, including free date swaps, partial refunds and priority rebooking on popular routes. Inside the final 48 hours, options narrow because guides, permits and equipment are already committed.
If you are unsure which window applies to your booking, check the confirmation email first. It lists your ride date, the change deadline and a direct link to the manage-booking page. That page is always the fastest route to a reschedule.
How to reschedule a ride
Rescheduling is designed to take less than two minutes. You do not need to call or explain yourself, and you can move your place to any available date within the next twelve months.
- Open your confirmation email and select Manage Booking.
- Choose Reschedule and pick a new date from the live calendar.
- Confirm any fare difference, which is shown before you pay.
- Receive a new confirmation with an updated reference.
If the new date costs less, the difference is held as credit on your account. If it costs more, you simply pay the gap. Your original place is released only after the new booking is confirmed, so you never lose both dates at once.
What happens if you cancel
Cancellations are processed to the same timeline as changes. The table below summarises the standard position for scheduled rides, though private group bookings can differ.
| Notice given | Refund | Transfer credit |
|---|---|---|
| 7 or more days | Full refund | Yes, plus bonus credit |
| 48 hours to 7 days | Partial refund | Yes, full value |
| Under 48 hours | No refund | 50 percent credit |
| No-show | No refund | No credit |
Refunds return to the original payment method, usually within five working days. Transfer credit never expires and can be used against any future Swift Trails ride, which is often the better choice if you already know you want to ride again.
Last-minute changes and emergencies
Sometimes things go wrong hours before departure. If you are ill, stranded or facing severe weather, contact us as soon as you can. We assess last-minute cases individually and may offer a goodwill transfer even outside the standard window.
"Guides would rather see you safe and rebooked than riding when you should be resting."
Keep your place on a future date by asking for a transfer credit instead of a refund. That credit reserves your priority status, and on most routes you can rebook the same trail at the same price for a full year.
- Change as early as possible for the widest choice of dates.
- Use the manage-booking link rather than replying to old emails.
- Choose transfer credit if you plan to ride again.
- Tell us about emergencies honestly and quickly.
Keeping your place on a future date
Your place is tied to your booking reference, not to a specific calendar day. When you transfer, we hold that reference open and apply it to whichever date you choose next. Popular weekend slots fill fast, so rebook as soon as your new plans are clear.
If you need help deciding between a refund and a transfer, contact the Swift Trails team with your reference number. We will walk you through the options and confirm everything in writing before any change is final.
